The Documents of Records section in Oracle HCM Cloud allows you to create, configure, notify, override, and approve documents with different classifications using the categories/subcategories. In the new Oracle HCM Cloud 22D, we are witnessing updates to improve the effectiveness of document records by adding multiple features to improve your productivity and efficiency.

Archive and Purge Document Records

Irrelevant old data in the records could reduce the speed and accuracy of your system. Moreover, manual entry of groovy scripts to delete the data affected the productivity of work. As a result, Oracle has simplified document preservation and management by allowing users to archive and purge document records that are no longer necessary for regular access.
Configure Archive Settings to Archive and Purge Deleted Document Records
When creating a document type we can specify multiple criteria for archival and purging. The archival criteria can be selected from the various dates like creation date, and issued on the date. We can specify after how many days the archival process can be run. It can be between 0 and 18000 days. For example, if you enter 2, the document records will be archived 2 days after the date selected for Archival Criteria basis. Similarly, the purge days can be specified after how many days the purging process can be run and between 0 and 18000. It will be run after the archive date.

This archive setting can work for all the documents deleted using the Document Records page, HCM Data Loader, HCM Spreadsheet Data Loader, and REST API.

Now, we can ensure the data that is kept in the system as per the legal requirements and the irrelevant gets deleted thus preventing crowding. Since archiving and purging can be specified during the creation of document type, it can be done easily by the HR executives, without any technical assistance as was required earlier.

Improved Document Type Description fields

The document name alone cannot reflect the content of the documents, and employees may become confused between several document types with similar names. As a result, Oracle has enabled users to contribute a document description of up to 4000 characters that accurately describes the document’s content. The formatted content is displayed in the wider read-only Description field on the responsive Document Records page and plugin region for the document type.

This would reduce the time to open the linked letter and review the contents. Moreover, separate letters containing the required details can be created for different grades or positions within the organisation, with the same name hence providing better organisation of data.

Enhanced Process for mass download of document record

Earlier, the documents in document records had to be individually downloaded, which in case of a large number of documents (like for old employees) would take a lot of time and effort. As a result, the attachment link now includes choices for downloading attachments from the Submitted Mass download process page as consolidated zip output. Even if the file size surpasses 2 GB, there will be only one output file. There is also the option to download document records with errors without having to read through the entire document record set.
