Social housing & Care
Riverside increases employee engagement, reduces payroll sign-off time, and realises a return on investment in less than six months using Oracle HCM Cloud
Riverside was voted “Social Landlord of the Year” for two successive years, and we’re growing exponentially. With growth, however, challenges arise. For example, the Payroll process would take nearly 12 days due to cross-organisational spreadsheets, payroll complexities, and legacy systems. After implementing Oracle HCM, Riverside eliminated 36 customisations and standardised pay codes from 400+ to 148.

Customer Profile
Riverside started in 1928 as Liverpool Improved Houses. It had 15 houses in Swan Street, Liverpool, intending to make housing affordable to those in need. The organisation expanded rapidly in the 1970s in the wake of the 1974 Housing Act; in 1996, with over 19,000 homes, the association was renamed Riverside Housing Association.
Fast forward to 2021, and Riverside is the leading registered provider of social housing in the UK, with almost 56,000 homes. They have provided affordable housing to people of all ages and circumstances throughout England and have transformed over 90,000 lives. They specialise in social housing, homeownership, veterans’ services, retirement living, and supported housing.

Business Challenge
Riverside had 3500+ employees with varied pay and HR policies (pension schemes, student loans, salary sacrifices) and various spreadsheets that weren’t on the cloud or did have a tracking history.
The legacy systems also needed to be improved by their limited functionalities. For example, the Payroll Manager would refer to 100+ spreadsheets over 12 days to get a payroll sign-off after checking for redundant work schedules and other complex operational processes across the well-spread organisation.
Riverside quickly identified the need for a Tier-1 solution and a reliable implementation partner to satisfy their core objective to increase the people connection between Employees and their Managers.

We liked Oracle as the first choice for HCM software, but without PCL, we would not have been able to go with a Tier 1 software cost-effectively and efficiently.
Why Riverside chose Oracle HCM
Riverside chose Oracle HCM as it offered a one-stop solution to efficiently manage and organise its workforce. They were consistently ranked the #1 vendor in Gartner for years, with “Completeness of Vision” being a key differentiator vis-à-vis other competitors in the market.
Meetings with all the key stakeholders were followed to ensure that all the requirements were met. As a result, they were convinced that Oracle HCM was robust and had various operational functionalities, saving precious time and cost in payroll processing and thereby standardising the entire organisation under one automated, standardised system.

Implementation Partner
Riverside chose PCL as their implementation partner for this very complex project since they had domain expertise in Payroll implementations, along with HCM transformation to be able to cater to all the requirements – like company-specific compliances, pay policies and UK labour regulations – to manage back-office transactions better.
PCL was also proficient in handling the challenges of a legacy system – data extraction across silos of data, data validation, and even data cleansing of 30,000+ records.

Results
Riverside implemented Oracle HCM Cloud for Payroll, Absences, Time & Attendance, Learning, and Talent, which enabled the payroll process for the 3500+ employees to run smoothly without any errors. It became a unified platform across Riverside Group, increased company-wide visibility, and ensured compliance with labour regulations.
Best of all, the project was delivered by PCL within the stipulated budget and timelines. In addition, PCL also offered additional Payroll support and continuous training to the end-users, which ensured that it was a smooth experience to increase the platform’s adaptation and thereby make the project a resounding success.
It ensured that all employees were paid on time and could now book overtime at different rates while maintaining that all the correct HMRC files were submitted per government regulations.

It’s been a true collaboration, and PCL has been a fantastic partner. It displayed resilience and an excellent example of teamwork to deliver the project quickly and effectively, despite our many challenges, primarily due to the pandemic.
